REPORTS TO:
The Executive Assistant is responsible and accountable to the company President.
The Executive Assistant is required to maintain and uphold the courteous, satisfactory, and efficient performance/completion of all assigned duties.
BASIC FUNCTION:
Assist the company President by providing administrative and clerical support and ensuring that company goals and objectives are accomplished.
JUB DUTIES:
Serve as a liaison for both internal and external executives on various projects.
Assist with company-wide communications.
Manage complex office administrative work which requires the use of independent judgement and initiative.
Manage professional and personal scheduling for company President to include:
agenda, mail, email, calls, travel arrangements, client management and company logistics.
Coordinate meeting scheduling and extensive calendar management; management of content and flow of information to senior executives.
Manage, coordinate and arrange senior executives travel related activities including:
conference registrations, hotel booking, transportation and meal coordination.
Perform administrative and office support such as taking minutes, creating spreadsheets and maintaining filing system.
Organize team communications and plan company events; internally and off-site.
Print checks and maintain check logs as requested.
Assist with answering and fielding incoming calls.
Travel as needed.
Perform other related duties as assigned.
KNOWLEDGE:
Accuracy in checking, posting and counting is required.
Must be able to use calculators, computers, machines (copy, fax, etc.
) and other typical office equipment.
Must be proficient in Microsoft Office (Outlook, Excel and Word).
Position requires knowledge of English, arithmetic, and proper grammar.
Experience:
Over three months and up to and including 12 months to become familiar with responsibilities and duties to perform effectively under normal supervision.
COMPLEXITY OF DUTIES:
Routine duties involve the use of various office procedures and application of clearly prescribed company standards, which require the making of minor decisions and the use of judgment.
Able to prioritize and multi-task in a fast-paced environment.
SUPERVISION RECEIVED:
Position requires the ability to work under general supervision as well as the ability to proceed on an individual basis.
ERRORS:
Probable errors may be serious, involving losses such as improper costs, failure to take discounts, overpayments, etc.
Most of the work completed is not verified or checked by superiors.
CONTACTS WITH OTHERS:
The Administrative Assistant has regular contact with other departments by furnishing or obtaining information in the utmost tactful manner in order to avoid friction and obtain/maintain cooperation.
Frequent contacts are made outside the company most often with suppliers or with telephone calls.
CONFIDENTIAL DATA:
Works with confidential data such as executive correspondence where disclosure would be detrimental to the organization's interest due to loss of employee or client goodwill.
PHYSICAL DEMAND:
Occasional lifting or moving of average weight material (around 25 pounds) such as boxed files or data is required.
PHYSICAL ACTIVITY:
Position requires typing, and the ability to move wrists, hands and fingers repeatedly to operate computer.
Administrative Assistant requires the ability to express or exchange ideas with others inside and outside of the company by means of the spoken word.
Must be able to receive and give detailed information through oral communication in person and over the telephone to various contacts.
MENTAL & VISUAL DEMAND:
Flow of work and character of duties involve normal mental and visual attention a majority if not all the time.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
